Define the component scope
Begin by stating whether you need a replacement capacitor or components for a new panel. Include the existing part reference or the panel designer’s specification. A request for a capacitor component differs from a request for a complete compensation cabinet.
Use the responsible engineer’s requirements as the buying basis. This checklist organizes information for quotations; it does not size equipment or provide installation instructions.

Put ratings and drawings together
Record rated voltage, frequency, required kvar, quantity, dimensions, terminal layout and mounting details. Attach the drawing revision and identify which values are confirmed. Ask the supplier to flag any proposed substitution.
Include available information about switching arrangements, enclosure conditions, harmonics and associated equipment for engineering review. If these details are unknown, leave them open rather than choosing values from a catalogue photograph.
Compare more than the unit price
Ask each supplier to identify the offered model, specification exceptions, requested test documentation, packing, lead time and quotation validity. Compare offers against the same requirement revision.
A similar outline does not establish interchangeability. Route substitutions and missing system information back to the responsible engineer before approving a component.
Keep sample costs visible in the comparison
Add separate lines for the component sample price, transport cost, expected dispatch timing and the specification being sampled. A sample quotation should identify the part being offered and any differences from the requested part.
Use a simple response record: part reference; drawing revision; quantity; sample cost; freight cost; supporting documents received; engineer review pending. Leave unanswered costs open instead of treating them as included. This is a procurement record, not an engineering approval.
Keep the next action clear
A useful comparison names the offered part, the information received and the items still awaiting review. Record who will answer each open question. This makes it easier to distinguish a complete quotation from a low price with missing details.
Brieftory supports the requirements and supplier conversation. Complete-panel design, sizing and installation are separate engineering responsibilities.
